What is a distributor database?
A distributor database is a list of distributors, dealers and wholesalers with their contact details, used by a manufacturer to build or grow a sales network. The value is not the list itself but how well it matches your product: a hundred dealers who sell what you make are worth more than ten thousand who do not.

How to build your own distributor database, step by step
- Define the right partner. Write down the product categories they must already sell, the cities or regions, the minimum size (number of outlets or sales staff) and the brands they carry next to yours.
- Find candidates. Search Google Maps and local directories by city and category, check the dealer lists of brands similar to yours, trade association member lists, and trade show exhibitor lists.
- Check fit. Visit the website or catalogue: do they sell your category, at your price level? Do they cover the region you want?
- Find the decision-maker. For large distributors, the purchase or category head. For dealers, usually the owner.
- Get a contact that works. A verified email for companies with websites; a business phone and WhatsApp for dealers who have none.
- Reach out and track it. Short first message, two follow-ups, and a sheet or CRM with status per partner.
What to offer a new distributor
Distributors take on a brand when it is easy to sell and worth their effort. Be ready with: a clear margin structure, territory terms (exclusive or not), minimum opening order, credit terms, marketing support such as samples and displays, and how you handle returns and warranty. A one-page distributor offer answers most first questions before the call.
India: reaching dealers without websites
Many Indian dealers have no website or email. Xporta finds their business phone from public listings and checks whether the number is on WhatsApp, so you can still reach them in the channel they use. For example, a kitchen hardware maker can ask for "dealers for modular kitchen hardware in Pune" and get showrooms, builder supply stores and interior studios, with phone numbers and WhatsApp status.
Abroad: distributors and importers
In export markets, distributors often import directly. Xporta researches their websites and catalogues, finds the purchase head with a verified email and LinkedIn profile, and can check import export data to see whether they import your product already. See also how to find buyers for export.
Is a bought distributor list legal to use?
Business contact data can be used for B2B outreach in most countries, but rules differ: the EU and UK require a legitimate interest and an easy opt-out, and India's Digital Personal Data Protection Act applies to personal data. Send relevant, personal messages, include an opt-out, and stop when someone asks.
Signs of a good distributor
- They already sell your category and know the buyers you want to reach.
- They carry brands at your price level, not only the cheapest or only the premium end.
- They have a sales team or outlets in the region you need covered.
- They pay on time. Ask other suppliers, and start with an advance or a small credit limit.
- They will commit to a plan: an opening order, a target for the first year and how they will market your product.
Exclusive or non-exclusive?
| EXCLUSIVE DISTRIBUTOR | NON-EXCLUSIVE DISTRIBUTORS | |
|---|---|---|
| Who sells in the territory | Only them | Several partners |
| Their effort | Usually higher; they own the market | Lower per partner; they compete |
| Your risk | If they underperform, the territory stalls | Price conflicts between partners |
| Good for | New markets, technical products | Fast-moving products, large territories |
A common middle path: exclusivity for one year, renewed only if the distributor meets an agreed purchase target.
A first message to a distributor
Hi [Name],
I saw [Company] distributes [category] across [region], including [brand they carry]. We manufacture [product] in [city], and we are looking for one distribution partner in [region].
We offer [margin or price level], [support such as samples and display units] and [credit terms]. Would a 15-minute call next week make sense?
Best regards,
[Your name] · [Company] · [Phone / WhatsApp]
How many distributors do you need?
Start small: one or two partners per region you can support well, rather than twenty you cannot visit or train. Add partners when the first ones are reordering. Tracking every conversation in one place, with the next step and date, matters more than the size of the list.
